Most coaches assume “going live” with a new automation system means 4–6 weeks of setup and false starts. With the snapshot and the included 10 dedicated hours, the typical launch is 7 days. This guide walks through it day by day.
Day 0 — Purchase + onboarding form
After checkout, you receive the onboarding form within minutes. It captures:
- Brand assets (logo, colors, voice tone)
- Offer details (program names, pricing, structure)
- Existing tool stack (Stripe, Calendly, Zoom, Slack, etc.)
- Current client list (if you want migration)
- Compliance details (US-based for A2P 10DLC, business address, etc.)
Submit it within 24 hours of purchase to keep the install on schedule.
Day 1 — Snapshot installation
Our team installs the snapshot into your GHL agency account. This is hands-off for you. What happens:
- 50+ workflows imported and verified
- 13 pipelines created with stages tuned to coaching practice flow
- 90+ tags loaded for client segmentation
- Custom fields installed across forms and CRM
- Domain authentication (SPF/DKIM/DMARC) configured
- A2P 10DLC paperwork submitted (US-based practices)
By end of day 1, the snapshot is live but not yet customized to your specific offer.
Day 2 — Application form + discovery booking
This is the highest-impact piece. We configure:
- The seven application questions tuned to your offer
- Scoring rule with thresholds set for your price point
- Discovery-call calendar handoff (which calendar, which appointment type, buffer)
- The “thanks for resources” fallback page for non-qualifying applicants
- Pre-call brief auto-email to you with applicant context
After day 2, anyone visiting your “book a call” link goes through the application gate.
Day 3 — Retainer billing + recovery
Stripe is integrated. The 4-stage failed-payment recovery flow is configured. If you have existing retainer clients on another system, we migrate them on this day with permission flow.
By end of day 3, all your billing is on autopilot, and silent failures will be caught and recovered automatically going forward.
Day 4 — Lead-magnet funnel + 12-day nurture
We load:
- Your lead magnet onto a branded landing page
- The 12-day nurture sequence with your voice + offer
- Source attribution tagging
- SMS opt-in flow (TCPA-compliant)
- Handoff from nurture to application
By end of day 4, your existing lead magnet is no longer sitting on a hard drive — it’s actively converting readers into applicants.
Day 5 — Cohort onboarding + client portal
If you run group programs, the 14-day cohort kickoff sequence is configured for your next cohort. Welcome video templates are recorded with your prompts. Slack / Circle / Voxer integration is wired.
The branded client portal goes live with your domain, your logo, and your modules.
Day 6 — Accountability check-ins + reviews
Daily or weekly accountability check-ins are turned on for your retainer clients. The end-of-program NPS + review flow is configured.
Day 7 — Final QA + training
A Loom walkthrough of the entire system. Your team (you + assistant + any partners) gets trained. We do a live test of every major flow — application submission, retainer recovery simulation, cohort kickoff dry-run.
You’re live.
What comes after day 7
You still have ~3 hours remaining of dedicated configuration time. Most coaches use those hours over the next 8 days for:
- Custom landing pages
- Practice-specific workflow tuning
- Integration with specialty tools (assessments, etc.)
- AI receptionist setup
- AI content pipeline configuration
After day 15, ongoing support is via GHL VA at $1,250/mo or pay-as-you-go at $20/hour.
